The Position:
We are currently seeking a full-time Administrative Assistant to assist our sales and administrative team while also helping maintain the day-to-day operations of the office. This is an in-person position. The individual in this role would be responsible for maintaining ongoing business files, answering office phone calls, creating contracts, invoicing vendors, receiving payments, ordering office supplies, managing affiliates, and supporting managers and employees through a variety of tasks related to organization and communication. The ideal candidate for this position is a self-starter who can work well in a fast-paced environment.
Detailed Responsibilities:
- Act as the point of contact between managers and clients
- Maintain all hard copy and digital records for ongoing executive projects
- Screen and direct phone calls and distribute correspondence
- Create contracts for prospective customers
- Receive payments from customers
- Handle requests and queries appropriately
- Manage and schedule meetings and appointments
- Read, monitor, and respond to emails
- Order and maintain office supplies
- Manage relationships with office vendors and service providers
- Ensure the office environment remains organized and operational
Requirements:
- High school diploma/GED (Associate degree preferred)
- Valid driver’s license with a clean driving record
- Strong sense of responsibility and ability to complete tasks with minimal supervision
- Knowledge of office management systems and procedures
- MS Office and English proficiency
- Outstanding organizational and time management skills
- Up-to-date with the latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communication skills
- Discretion and confidentiality
- Reliable form of transportation
Compensation and Benefits: Compensation based on skill level and experience. Comprehensive benefits package offered to full-time employees after 90 days of employment.
- Compensation: $50,000 with the potential to earn up to 25% more through additional remote hours and bonuses
- Must be willing to work additional remote on-call shifts as needed
- Must be willing to submit to a background check.
